Evolution to Wellbeing respects your privacy, and this policy outlines how we protect your information. This policy will change from time to time, and updates will be made available through our website.

What information do we collect?

Information is commonly collected with your informed consent when;

  • you visit or call an Evolution to Wellbeing location.
  • you speak to a member of Evolution to Wellbeing by phone.
  • you complete a survey.
  • you visit the Evolution to Wellbeing website.
  • we acquire contact details from an approved data broker for the purpose of marketing.

The information we collect includes your name, address, phone numbers, email address, date of birth, relevant health information and payment details. We may also request some general health and lifestyle information which is used to help identify suitable products and services which we can provide to you.

We need to collect information from you so as to provide you with excellent customer service, deliver suitable services and products, as well as conduct relevant marketing to you. We may use your information to;

  • contact you with information or offers which are relevant to you, health and fitness updates
  • provide you with further information about a particular service, such as a reminder about attending your group fitness session
  • provide you with a particular benefit or service, such as confirming eligibility for a free health and fitness event

We do not use information for a secondary purpose unless you have provided consent for such use.

Information can be in paper or digital form, and is stored securely in our central office.
We protect information from inappropriate use or disclosure. This includes:

  • Ensuring information on computer screens cannot be seen by unauthorised people
  • Removing paper files from desks and storing them securely out of sight
  • Limiting the duplication of information
  • Use of strong passwords to protect access to systems
  • A range of technical systems such as firewalls and antivirus software
  • We regularly undertake processes to check the security and quality of information we have collected, and welcome any updates or corrections about your information from you. We also review the processes we have implemented to handle the collection and use of information.
  • Employees are bound to confidentiality of data, and breaches will be penalised accordingly.

 
When information is no longer required by the business it is securely destroyed.

How do we use information?

We use your information in the course of providing you with a suitable fitness solution, and in administering our business. Our staff have access to your information where it is relevant to their role.

We may disclose your information to other companies, contractors, agencies or individuals, with your consent, in the course of providing you with our products and services, and whilst maintaining your information. Where your information is disclosed, we take appropriate measures to protect your information, including the use of binding contracts limiting the use of the information. We will provide copies of test results and other relevant information to your doctor or other agencies if required.

From time to time information may be disclosed overseas for the purpose of marketing services and IT hosting services.  From time to time we may use external companies for various marketing services, and we use strict contracts to protect your privacy in these cases.
 
From time to time we may use your information to provide relevant marketing communication directly with you to promote our goods and services. This could be through a variety of channels, including telephone, SMS, mail, email or online advertising. At any time you may opt not to receive such direct marketing.
 
We may also use or disclose your information if required or authorised by law.

Cookies and Data Collection

We use Google Analytics to collect traffic data for continually improving our website. Google Analytics traffic data is stored on Google servers (whether in the US or elsewhere) and Google is subject to US law.

Google Analytics does not associate your IP address with any other data held by Google or store any other information about your visit that may be used to identify you personally from records on Google servers. To improve our website further, we use Google Analytics Demographic and Interest reporting. These reports associate your visit to our website with Google's estimated data about your age, gender and interest categories. This data is calculated by Google based on any accounts you have with Google products (such as YouTube), as well as your browsing behaviour on third party websites that use the DoubleClick cookie. This data is aggregated by Google Analytics and a privacy threshold is applied so that we cannot identify your demographics and interests on an individual basis.

We also use the Google Analytics UserID feature. If you choose to identify yourself (eg. by filling out a form), we will associate your Evolution to Wellbeing customer ID with your subsequent visits across multiple devices, as well as some internal customer information. All of this associated data is not Personally Identifiable Information, meaning that your private data (eg. email address, phone number, name etc.) are never stored on Google servers; all that's stored is an anonymised link to these records in our internal database. We follow Google's privacy requirements for UserID, including dissociating your UserID from future browsing if you choose to log out.

From time to time, we also use Google remarketing and interest-based advertising to serve you ads (using Google and third party vendors) based on your demographics and your behaviour on this website. Any advertising or remarketing lists you may belong to are also subject to Google's privacy thresholds. We cannot serve you ads based on any personally-identifiable information (or any sensitive information) and the ad serving cannot be used to individually target any ads to a particular person. A range of opt-out actions you can take is outlined below:

  • To remove yourself from a remarketing list or do dissociate your UserID from future browsing, clear your browser cookies

Security and financial information

Your Evolution to Wellbeing account information is password-protected for your privacy and security.
In certain areas Evolution to Wellbeing uses industry-standard SSL-encryption to protect data transmissions. 

All payment forms go directly through to our third party payment gateway and are SSL-encrypted. No records of any payment details are kept. 

Changes to this Privacy Policy

Evolution to Wellbeing may amend this policy from time to time. If we make any substantial changes in the way we use your personal information we will notify you by posting a prominent announcement on our pages.

Queries and complaints

We will investigate your concern and respond to you in writing in a reasonable timeframe.
